When it comes to document management, there is a computer system known as Document Management System, which is also referred to as DMS. This computer system, which is a collection of computer programs, is used to track as well as store documents of electronic nature, along with images (and sometimes without images) of paper documents.

In computer terminologies, there is some overlapping of words, as for Document Management Systems it is sometimes mixed with Content Management Systems. Although there is some correspondence between these two, but both of them contain different sets of characteristics.

From a broader point of view, document management systems have such diversity within their essence that they can range from a small shoebox to the content management system of an enterprise. One cannot deny the presence of a number of common issues in the case of proper management of documents. These issues can be, whether the system is an informal or ad-hoc or paper-based method for a single person, or it is the alternative case where the system is formal along with being structured and computer-enhanced, and could be used by many people across the span of multiple offices.

The dimension of methods used for document management addresses several areas. First, there is the issue of location that answers the question that where the document will be stored or where do people need to go to in order to access the contents of the document. This journey of finding and locating a document is just the same as searching through a file cabinet, only simpler in nature.

As per the general state of affairs, databases are used by document management systems to store metadata about documents. As for the actual physical files, a File System is organised to store those. Then is the area of retrieval in the course of document management. This is inclusive of both the phenomena of browsing through documents as well as searching for specific information.

In addition to that, document management also takes care of the security of documents, preventing any unauthorised personnel from accessing them. Sometimes, it happens that documents are lost in the course of some disaster. Document management, in some cases, suggests some ways through which, those documents can be retrieved.

Some other areas are retention (that covers the maintenance and collection of documents according to an information overload), archiving (upcoming readability concerns), distribution (the appropriate arrangement of access of documents to the relevant individuals who need them), and workflow (the smoothness of the whole process and preventing any problems from blocking it). Document management systems takes care of all the above given aspects related to a document.

Finally, one can say Document Management System is a complicated and vast procedure that looks after your document in every aspect, from arrangement to its security. However, its job is conditional to the proper functioning of the Document Management System.
